Overview
Sunrgy Solar Distribution® (“Sunrgy,” “Seller”) is committed to supplying high-quality solar equipment and related products to our commercial and distribution partners. This Returns & Clearance Policy governs all return requests, claims, and credit processes for purchases made through Sunrgy Solar Distribution®.
All sales are final. Returns are accepted solely under the conditions described herein and only with Sunrgy’s prior written authorization. This policy applies to all buyers (“Buyer,” “Customer”) and supersedes any prior return-related communications unless otherwise agreed in a separate written agreement signed by an authorized Sunrgy representative.
By placing an order with Sunrgy, Buyer acknowledges and agrees to the terms of this policy.
1. Inspect Upon Delivery
Buyer is responsible for thoroughly inspecting all shipments at the time of delivery, before the carrier departs when possible.
- Inspect all packages for visible damage, shortage, or discrepancy while the delivery driver is present.
- Note any damage, shortage, or irregularity directly on the delivery receipt (Bill of Lading or Proof of Delivery). Failure to annotate the delivery receipt may limit or void Buyer’s ability to file a freight claim or return request.
- If a full inspection cannot be completed at the time of delivery (e.g., due to pallet quantity or time constraints), write “PENDING INSPECTION” on the delivery receipt before signing. This notation preserves Buyer’s right to report concealed damage discovered upon unpacking.
- Retain all original packaging, packing materials, and shipping documentation until the inspection is complete and any claims are resolved.
- Concealed damage or shortages must be reported to Sunrgy within 7 business days of delivery. Reports submitted outside this window may not be eligible for credit or replacement.
2. Return Eligibility
2.1 General Eligibility
Sunrgy accepts returns only for goods that meet all of the following criteria:
- The item is a product normally carried in Sunrgy’s active inventory (non-clearance, non-special-order).
- The item was delivered as ordered and is being returned due to an eligible reason under this policy.
- The return request is submitted within 90 days of the original purchase date.
- Sunrgy’s prior written authorization (Return Authorization) has been obtained before the item is shipped back.
- The item is unused and in its original, undamaged manufacturer packaging with all components, accessories, and documentation included.
Returns that do not satisfy every condition above will not be accepted and may be returned to Buyer at Buyer’s expense.
2.2 Return Request Window
- Standard products: return requests must be submitted within 90 days of purchase.
- Requests submitted after 90 days will not be accepted under any circumstances.
3. Battery & Energy Storage Products
Due to safety, transportation, and regulatory requirements, battery and energy storage products are subject to a shorter return window:
- Battery and energy storage systems must be returned within 30 days of purchase.
- All battery return requests are subject to inspection and approval by Sunrgy’s technical team.
- Products must be unused, in original factory packaging, and must not have been connected, installed, or activated.
- Returns of battery products outside the 30-day window will not be accepted.
Battery returns may be subject to additional handling and disposal considerations in accordance with applicable federal, state, and local regulations. Buyer is responsible for ensuring compliant return packaging and transport.
4. Clearance & End-of-Life Products
Clearance, end-of-life, discontinued, and obsolete products are sold as-is and are NOT eligible for return or credit under any circumstances.
- Products designated as “Clearance,” “End-of-Life,” “EOL,” “Discontinued,” or similar on the order confirmation or invoice are explicitly excluded from this policy.
- No exceptions will be made for clearance items, regardless of the reason for the return request.
- Buyers are strongly encouraged to review all product designations on their order documentation prior to purchase.
5. Return Authorization (RA) Process
No return will be accepted without a valid, Sunrgy-issued Return Authorization (RA) number. Unauthorized returns will be refused at Sunrgy’s receiving dock and returned to Buyer at Buyer’s sole expense.

Provide the following information in your request:
- Original order number and invoice number
- Product name, model number, and quantity to be returned
- Reason for return
- Photos of the product and packaging (required for damage or discrepancy claims)
- Serial numbers for applicable products
Sunrgy will review the request and respond with either an approved RA number or a denial within a reasonable timeframe.
Once issued, the RA number is valid for 21 calendar days. The return shipment must be received by Sunrgy within this period. Expired RA numbers will not be honored, and a new request must be submitted.
The RA number must be clearly marked on the outside of each return shipping carton. Packages without a visible RA number will be refused.
6. Packaging Requirements
Proper packaging is Buyer’s responsibility. Sunrgy will not issue credit for items damaged in return transit due to inadequate packaging.
- All returned products must be in their original manufacturer packaging, including all inner packaging, foam inserts, manuals, accessories, mounting hardware, and any other included components.
- Products must be securely packed to prevent damage during return transit. Use outer cartons or pallets as appropriate for the product type.
- Buyer assumes all risk of loss or damage during return transport.
- Sunrgy recommends using a trackable, insured shipping method for all returns.
- Do not write on, tape over, or otherwise mark manufacturer product boxes directly. Use an outer shipping carton.
7. Fees & Responsibilities
7.1 Restocking Fee
All approved returns are subject to a 15% restocking fee, calculated on the original invoiced price of the returned product(s). This fee covers inspection, repackaging, and inventory reintegration costs.
7.2 Return Shipping
- Buyer is responsible for all return shipping costs, including freight, insurance, and any applicable handling charges.
- Sunrgy does not provide prepaid return shipping labels except in cases where Sunrgy has made a verified shipping error (wrong item sent) or where a product defect is confirmed through Sunrgy’s inspection process.
- Return shipments must be prepaid. Collect shipments will be refused.
7.3 Credit Calculation
Approved credits will be calculated as follows:
Credit = Original Invoice Price − 15% Restocking Fee
Credits are applied to the Buyer’s account and may be used toward future purchases. Refunds to original payment methods are issued at Sunrgy’s discretion and are not guaranteed unless otherwise required by applicable law.
8. Reporting Issues: Wrong, Missing, or Extra Items
Discrepancies between what was ordered and what was received must be reported promptly.
- Wrong items, missing items, or extra items must be reported to Sunrgy within 7 business days of delivery.
- Reports must be submitted in writing to support@sunrgy.com and must include:
- Order number and invoice number
- Description of the discrepancy (what was received vs. what was ordered)
- Photos of the items received, including labels and serial numbers
- Photos of shipping labels and packaging
- Sunrgy will investigate the discrepancy and, if confirmed, will arrange for the correct item(s) to be shipped or issue a credit at Sunrgy’s discretion.
- Do not use, install, or dispose of wrongly shipped items before receiving instructions from Sunrgy.
9. Claims & Documentation
All claims — including freight damage claims, shortage claims, and product defect claims — require adequate documentation to be processed.
Required documentation may include, but is not limited to:
- Annotated delivery receipt (Bill of Lading or Proof of Delivery) noting damage or discrepancy at time of delivery
- Photographs of damaged or incorrect products and packaging (all six sides of the shipping carton where applicable)
- Photographs of product serial numbers and model labels
- Original packing slip or invoice
- Description of the issue and the requested resolution
Claims submitted without required documentation may be denied. Sunrgy reserves the right to request additional documentation or to conduct an on-site or remote inspection before approving any claim.
10. Refund Conditions
Credits and refunds are subject to the following conditions:
- All returned products are subject to physical inspection upon receipt at a Sunrgy warehouse. The final credit determination will be made after inspection.
- Credit will not be issued for any of the following, regardless of whether a Return Authorization was issued:
- Damaged goods (including damage resulting from return transit)
- Used, installed, or activated goods
- Items with missing parts, accessories, manuals, or packaging components
- Obsolete, discontinued, or end-of-life products
- Goods received in a condition that prevents resale as new
- Products returned after the applicable return window has expired
- Returns received without a valid RA number or after the RA expiration date
- If an inspection reveals that a returned item does not meet return eligibility requirements, Sunrgy will notify Buyer. Buyer may elect to have the item returned at Buyer’s expense or may authorize Sunrgy to dispose of the item.
11. Non-Returnable Items
The following product categories and conditions are not eligible for return under any circumstances:
- Clearance, end-of-life, discontinued, or obsolete products
- Special-order or custom-configured products
- Products not normally carried in Sunrgy’s active inventory
- Damaged goods (freight damage or otherwise)
- Used, installed, activated, or partially assembled products
- Products with missing components, accessories, or documentation
- Products returned without prior written Return Authorization
- Products returned after the applicable return window (90 days standard; 30 days for battery/storage)
- Products refused at delivery that have been tampered with
- Any product that cannot be resold as new upon inspection
12. Governing Terms & Legal Venue
This Returns & Clearance Policy is incorporated into and governed by Sunrgy Solar Distribution’s Terms of Sale. In the event of any dispute arising under or related to this policy, the parties agree that venue shall be in Fort Bend County, Texas, and the laws of the State of Texas shall govern, without regard to conflict-of-law principles.
Sunrgy reserves the right to modify this policy at any time. The version posted at the time of purchase or at the time a return request is submitted shall govern the applicable transaction.
